Fireside Faith Booking Terms

These terms apply to the Founding Fireside Faith Retreat at Melmerby Hall & Stag Cottage, Cumbria, 26 February–1 March 2027.

Booking your place

The retreat price is £495 per person.

A £100 booking deposit is payable when you reserve your place. The remaining £395 is due by 26 January 2027.

Your booking is confirmed once we have received your deposit and sent you confirmation.

If you need to cancel

We understand that plans sometimes change.

If you cancel, we may retain part or all of your £100 deposit to cover costs and losses that we have reasonably incurred because of your booking and cancellation.

After the balance has been paid, any cancellation charge will reflect the actual loss to Fireside Faith, taking account of costs we can avoid and whether we are able to fill your place.

We will always take reasonable steps to minimise any loss, including offering the place to someone else where possible.

If your place is successfully filled, we will refund any amount that we no longer need to cover our actual costs or losses.

Transferring your place

If you can no longer attend, please speak to us.

We may be able to transfer your booking to another suitable person, subject to room arrangements, dietary requirements and sufficient notice.

Please don’t arrange a transfer yourself without checking with us first.

If Fireside Faith cancels the retreat

If we cancel the retreat, all payments you have made to Fireside Faith will be refunded in full.

Our current intention is to proceed once we have reached the minimum viable number of guests. If we do not reach that number, we will make a decision well in advance and let everyone who has booked know.

Severe weather and exceptional circumstances

Cumbria in February can occasionally experience severe winter weather.

If conditions at Melmerby Hall or in the immediate area mean that we cannot safely or reasonably run the retreat, we will contact guests as quickly as possible and the retreat may be cancelled, postponed or rearranged.

If we cancel, you will receive a full refund of all payments made to Fireside Faith.

If the retreat is able to go ahead but severe weather or other disruption affects your individual journey, please contact us as soon as possible. Your position will depend on the circumstances and the applicable cancellation rules.

Travel insurance

We strongly recommend arranging suitable UK travel insurance from the time you book.

You should check that your policy provides the cover you need for illness, personal cancellation, travel disruption and other circumstances that could prevent you from attending.

Rooms

Melmerby Hall and Stag Cottage contain a mixture of double and twin rooms.

We will ask for your preferences and allocate rooms as thoughtfully as possible, taking account of whether you are travelling alone, with a friend or as a couple.

Specific rooms cannot be guaranteed unless we have confirmed this with you in writing.

Food and dietary requirements

All meals and refreshments are included in the retreat price.

We will ask for dietary requirements and allergies before the retreat and will work with our caterer to accommodate them wherever reasonably possible.

Please tell us about any serious allergies or dietary needs when requested.

Travel to Melmerby

Guests can travel independently by car.

We also intend to provide scheduled collection from Penrith railway station at specified times. Details will be sent nearer the retreat.

Travel to Penrith or Melmerby is not included in the £495 retreat price.

The nature of the retreat

Fireside Faith is a Christian retreat built around Scripture, prayer, worship, community, reflection, Fireside Encouragements, hospitality and time to rest.

Everything is invitational. You will never be required to share a personal story, pray publicly or speak in front of the group.

Changes we may need to make

Occasionally we may need to make reasonable changes to timings, meals, activities or other details.

If we ever need to make a significant change to an essential part of the retreat, we will contact you and explain the options available.
